Summary

I love paper and trees and paper trees. 

  • Do you understand both the instruction and covering email? Is the form fully populated and if not, have you queried with clients - ensuring all relevant boxes are populated and delivery contact name if not going to instructing law firm? 
  • Check exported documents against the instructions, has everything been included this also needs to be checked against the platform to ensure bundles are exported correctly and in full? Check the filename prefix is included to correctly order the documents, especially for i) custom bundle prints, to ensure the order in the instructions is reflected, i.e. Bundle/Tab order (check with clients if unsure) and ii) suffixed tabs, to ensure whole number comes before suffix. Check that no natives have been included.Are the subfolders exported in the correct order, so tabs flow sequentially?HTML indices removed?If the requests is a mix of colour and black & white documents, or includes A3 documents, have they been split accordingly into different folders?
  •  Check the correct specifications from client instructions have been used in the generator settings, i.e. single / double sided, straight run / numbered dividers? 
     Are the documents correctly ordered in the splits in line with instructions — most relevant for custom bundle prints? 
     Are the folder totals/splits sensible — target 300 ss / 600 ds with a maximum of 350 ss / 650 ds? Ensure: 
    • i) The number of volumes has been reduced as much as possible.
    • ii) Families are kept together where possible.
    • iii) Where a document is split across two volumes, the page range has been correctly and sensibly updated, i.e. part 2 starts at the next page value rather than page 1.
     If the bundle is sequentially paginated, does the page range reflect this? 
     Does the 'Dividers' column reflect the instructions? It should only appear for a custom bundle request, using Bundle/Tab references or sequential numbers. 
     Have custom dividers been included where relevant, i.e. Bundle/Tab values or red-letter dividers where bundle references change? 
  • Check that all of the relevant information has been included as per the client template/instructions and our internal standard e.g. Bundle and Bundle Name, Tabs X-X, Volume X of X. Check that the number of covers/spines match the number of folders for the request e.g. if there are 15 folders, are there 15 covers/spines? Spot check volumes to make sure they match the splits.
  • Check that the titles from the platform have been included e.g. Pleadings, Witness Statements. If the bundle is sequentially paginated, is the page range column reflective of this? Spot check volumes to make sure they match the splits. If the request is of custom bundle with sequential tabs running from 1-X, has the 'No.' column been included on the index i.e. it should be 6 columns instead of 5. 
  • Are the specifications in line with the client instructions?

    Are the delivery instructions clear for Millnet?
    • Print reference: Does this match the print folder title?
    • Documents: Have colour or A3 specifications been outlined?
    • Binders: Have the binder and finishing requirements been specified?
    • Dividers: Have custom tabs been specified?
    • Indices: Have additional client indices been referenced?
