Summary
Once the initial upload is complete on a matter, we need to confirm in our reply that we are now ready to grant access to the platform. The below wording should be used to ensure:
- Clients are made aware of billing periods for user access.
- AI functionaility it advertised at the outset.
Email Template
As the first set of bundles have been uploaded, we are in a position to provide user access. As such, please could each party send a list of email addresses for any users who should be added at this time, directly to our team address (litigation@opus2.com / arbitration@opus2.com) – any Judge / Tribunal users will need to be requested via a joint instruction, with all parties in copy.
Once a request is received, we will create the user accounts in the respective workspace, and each user will receive an automated registration email allowing them to set up their account. Users are billable on a per user per week basis (with the billing week running Monday to Sunday) chargeable from the point at which they are added and access will continue indefinitely, therefore incurring the associated user cost, until we are expressly instructed otherwise.
If the parties would like to use our AI Assist functionality, please let us know and we will ensure that is configured for all users on your party specific workspace(s). If there are any users who do not require AI Assist on their accounts, please let us know as it will be available by default once we have your confirmation – more information on AI Assist can be found here.
Additional Considerations
In some instances this wording will need to be customised to flag bespoke arrangements for user billing. For example:
- If one party is paying for access for another party, it will need to be made clear that all requests need to come from the paying party unless other arrangements have been agreed.
- If there are any Access Only Parties that are not copied in the email instructions for upload, the copied parties will need to be asked to notify these parties that they can now reach out for access directly.
Access Only Parties - Parties that do not contribute to shared fees, and instead only pay for access on their workspace(s).
